Privacy notice for Elmbridge wellbeing walks. 

Who we are and what we do

Elmbridge Borough Council's Leisure and Cultural Services team manage the Elmbridge Wellbeing Walks and Cycle Ride scheme which encourages people to be more active in and around the borough. The Health Development Officer manages the scheme and the Wellbeing Walks and Cycle Ride Volunteers deliver the walks and rides on the scheme and collect the information. The Leisure Development Manager oversees the scheme when necessary.  

What we need

We will collect information about you when you join a walk/ride for the first time. We will collect your name, address, email and phone number. Each time you attend a walk/ride we will ask for your name and postcode so that we can record your attendance.

Your responsibilities

You understand that you walk/ride any of events at your own risk and agree that we can use your data for anonymised data recording.

Why we need it

Elmbridge Council uses the information to email you the quarterly walks/ride programme. If there is an accident or incident, we will use this information to contact you. We may also contact your regarding walk/ride cancellations. We will use anonymised data to record number of participants.

Walking for Health will use your information to record anonymised data and if you have given permission, to send you a health form for completion.

What we do with your information and with whom do we share it?

The information you provide will be held by Walking for Health and can also be accessed by authorised council employees and volunteers who administer the scheme.

Our legal basis for processing your data

For the Wellbeing Walks and Cycle Ride scheme, we process your data where you have given consent to the processing of your personal data.

How long we keep it

Your name and contact details will be kept in paper form by Elmbridge Borough Council for no more than 3 months . They will be destroyed securely once input on to the Walking for Health database.  

By nominating and supplying personal information for yourself you are giving consent for this information to be used by Elmbridge Borough Council and its partner Walking for Health in accordance with the General Data Protection Regulations (GDPR) and the Data Protection Act 2018. What are your rights?

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please contact the Data Protection Officer.

Changes to our privacy policy

We keep our privacy policy under regular review and we will place any updates on this web page.
