Centres for the Community Hiring Privacy Notice
The following privacy notice applies to hire of our Centres for the Community.
Who we are and what we do
We have 7 Centres for the Community throughout Elmbridge which have rooms and halls available for hire all year round for events or regular bookings.
What personal information we need
We will collect the following information from you:
• Name, address, phone numbers and email address
• Invoice address (if different)
Why we need your personal information
We need to collect personal information from you to manage your hire of our Centres. We will only collect what we need to process your hire application and provide a service to you. We will contact you if we need to pass important information on to you regarding your hire, check details of your hire and for billing purposes.
If you are a regular hirer, we will also use your personal information to maintain our database of hirers.
How long we keep your personal information
Your personal information will be held on file while you are a hirer of our Centres. We will delete your records after your hire ends and your final invoice is paid.
Your name, address and records of payments you have made for hiring our Centres will be held in our financial systems for 7 years after the payment was made.
In the event of a safeguarding or health and safety issue we will keep your personal information for as long as required for safeguarding purposes or to fulfil legal obligations.
